What this office holds, what this site holds, and for how long

This sheet is short because the list is short, and specific because a general statement about data would not tell a supplier or a delivery point anything they could check. Where a retention period is set by law rather than by this office, that is said plainly.

Nothing is kept because it might be interesting later. A file with no reason to exist is closed.

Records of goods in

Receiving produces the longest-lived records in the unit: the booking-in record for each vehicle, the signed delivery note, any discrepancy lines with their times, and the bench photographs taken against a damage line.

Records of goods out

Despatch produces the copy despatch note for each drop and the lane sheet showing which pallets went on which vehicle in which order. Both are filed once the vehicle has left the yard.

What this website holds

This site is a set of static files. It has no accounts, no login, no contact form and no server-side processing, so there is nothing for it to collect. Row by row, what that means:

The working sheets05 The container fill sheet and the pallet fit sheet run entirely in the browser. Nothing. The figures typed in are not transmitted, not saved to the device, and gone when the page is closed.

Both sheets print their own division on screen precisely so the result can be checked by hand. They are working aids for a clipboard, not a record: nothing either sheet produces is retained by this office unless somebody writes it onto a lane sheet themselves.

What the office holds

A file has a life, and the drawing below is let across the gutter because both halves of the floor feed the same one.

Two periods, not one. The shorter is set by this office; the longer is set by statute.

Goods in the files kept

Supplier and customer records hold a business name, a trading address, a delivery address, a booking contact and the transaction history — the minimum needed to book a slot and send a pallet to the right place.

Goods out how long

Correspondence by email with the trade address is kept while it is live and then filed with the transaction it relates to. Operational records — booking-in records, discrepancy lines, bench photographs, pick lists, lane sheets and copy despatch notes — are kept because a query about a delivery can only be answered from them, and are disposed of once such a query could no longer arise.

Accounting and tax records are kept for the periods a private company is required to keep them under the Companies Act 2006 and by HM Revenue & Customs, whichever is the longer in a given case.
